What we collect, and what we do not.

Who is responsible
Systeni is operated by Systeni Limited, registered in Hong Kong SAR (company and business registration number 81059428). For anything on this page, write to hello@systeni.com. A person answers.
Your data is not used to train anything
Nothing you or your customers put into Systeni is used to train a model — not ours, not anybody's. Stating it plainly because it is the question most people actually have, and because a policy that buries it is answering a different question.
Concretely: when a message arrives, its text is sent to Anthropic so an agent can work out what it is and what to do about it. That is an API call under commercial terms that exclude training on what is sent, not a chat window. We hold no model of our own and train nothing.
Nothing is sold, and nothing is shared for advertising
There is no analytics service on this site, no advertising network, no tracking pixel and no third-party script that watches you read. What we do count, on our own server and without knowing who you are, is described under “When you open a page” below. The only companies that see any of your data are the 5 listed below, and each sees it because the service cannot run without them.
What we collect, and for how long
When you send an enquiry
Name, email address, and — if you give them — company, phone number and what you wrote. We also record which page the form was on, the campaign that brought you, and the language you were reading in.
How long: Kept while the enquiry is open and for 24 months afterwards, so we can pick up a conversation you started. Then deleted.
When you create an account
Your name, your email address, and your password — stored only as a hash, which means we cannot read it and cannot tell you what it is.
How long: Kept for as long as the account exists. Deleted with the account.
What you put into the product
Whatever you and your team enter while setting up: your organisation's details, the answers to onboarding, workflows and agent configuration.
How long: Yours. Kept until you delete it or close the account.
Technical records
Our server keeps ordinary access logs — the address a request came from, what was requested, and when. This is how a service is kept running and how abuse is noticed.
How long: Short-lived, kept only as long as it is useful for operating and securing the service.
When you open a page
If you are not signed in, our server adds one to a daily total for that page and the language it was shown in. If another website linked you here, its name is added to a total too — the name only, never the address of the page you came from — and so are campaign tags in the link you followed. Sending an enquiry, creating an account, starting a checkout and a subscription becoming active each add one to a total as well. No cookie is set or read for this and nothing is stored in your browser. Your address is kept in the server's memory for at most a minute, in scrambled form, only to ignore floods of requests; your browser's identification is looked at only to leave out automated visitors and is not kept. Nothing in these totals can tell one visitor from another or recognise you on a later visit.
How long: The totals contain nothing about any one person and are kept as statistics.
Cookies
Three, all of them necessary for the site to work or to remember a choice you made. None of them track you, and there is no consent banner because there is nothing here to consent to.

When we connect a model provider, it will be named here before it processes anything — not after.
International transfers
Hosting and the database are in Germany, which is where everything is stored. The company is established in Hong Kong SAR. Email, the model that reads inbound messages, and card payments run through providers in the United States; PayPal is in Luxembourg. So data reaches all of those places, in the ways the table above sets out and no others. If you are in a country that restricts transfers abroad, this is the paragraph that matters to you, and hello@systeni.com will answer specific questions about it.
Which rules we hold ourselves to
Systeni Limited is established in Hong Kong SAR, so Hong Kong’s Personal Data (Privacy) Ordinance (Cap. 486) applies to it. Systeni is sold globally rather than into any one market, so which other country’s law reaches a particular reader depends on where that reader is. Rather than work that out line by line, this page describes what we do for everybody, and it is written to the strictest standard we know of. If the law where you live gives you more than this page describes, you keep it — nothing here is an attempt to sign it away.
What you can ask for
A copy of what we hold about you, a correction, or deletion. Also: to object to a use, or to have your data sent to you in a portable form. Write to the address above; we answer within 30 days and we do not require a particular form of words. If you are unhappy with the answer you can complain to a data protection authority where you live.
